Vendor Terms of Service
These terms govern the relationship between you ("Vendor") and JY Store. By creating or using a seller account, you agree to comply with the rules below to protect Buyers, Vendors, and the integrity of the marketplace. If you do not agree, do not register, list items, or accept orders on the platform.

1. Scope & Definitions
JY Store operates as a Marketplace Service Provider. We provide the platform infrastructure that enables transactions between Buyers and Vendors, including the website, payment processing flow, order system, customer support workflows, dispute tools, and logistics integrations. Unless expressly stated otherwise, JY Store is not the manufacturer, supplier, distributor, importer, retailer, or owner of the products you list.
1.1 Key Definitions
- Buyer A person purchasing goods or services through the JY Store checkout system.
- Vendor / Seller An individual or business that lists items on JY Store and is responsible for fulfillment, after-sales communication, and compliance.
- Listing A product/service page created by a Vendor, including title, price, description, photos, attributes, and delivery terms.
- Order A completed checkout transaction made through the platform that creates a fulfillment obligation for the Vendor.
- Escrow A holding state where Buyer payments are temporarily held to protect both parties during delivery and dispute windows.
- Seller Balance Funds available to the Vendor after fees, adjustments, and escrow release conditions are satisfied.
- Digital Goods Non-physical items delivered electronically (e.g., e-vouchers, game credits, software keys, codes, top-ups).
1.2 Vendor Responsibilities
- Provide truthful listings (title, photos, specs, and pricing).
- Ensure items are legal and compliant with Malaysian regulations.
- Maintain accurate stock status and ship on time.
- Package items properly to prevent damage.
- Respond professionally to Buyers and dispute requests.
- Use Buyer personal data strictly for order fulfillment only.
2. Account & Security
Vendor accounts are available to individuals and businesses based in Malaysia. JY Store may approve, reject, suspend, or terminate seller accounts based on risk, compliance, or policy enforcement needs.
- Age Requirement You must be at least 18 years old to register. If you register on behalf of a business, you confirm you are authorized to represent that business.
- Account Ownership Your seller account is personal to you or your business. You are responsible for all actions taken using your account, including listings, pricing, messages, and order fulfillment.
- Security & Access Keep your password and login details confidential. Do not share your account with unauthorized persons. If you suspect unauthorized access, notify JY Store immediately.
- Banking (Payouts) You must have a valid Malaysian bank account for withdrawals. The bank account holder name must match your ID/SSM details to reduce fraud risk.
- Verification (KYC) JY Store may request NRIC (for individuals) or SSM Certificate (for businesses) before enabling selling, approving payouts, or releasing high-value withdrawals.
3. Listing Guidelines
Listings must be honest, accurate, and professional. Misleading listings harm Buyer trust and platform integrity. Vendors are responsible for ensuring that every listing clearly represents what the Buyer will receive.
3.1 Listing Quality Requirements
- Accurate Title: Must reflect the actual item being sold (model, size, variant).
- Realistic Pricing: Price must be the true payable amount for the listed item.
- Clear Description: Include condition, specifications, warranty terms (if any), and what is included.
- Correct Category: Choose the correct category to avoid misleading Buyers.
- Stock Accuracy: Do not list items as available if you cannot fulfill within stated timelines.
3.2 Forbidden Practices
- Keyword Spamming: Adding irrelevant brand names (e.g., “iPhone” on a Samsung listing) to manipulate search results.
- Misleading Pricing: Listing an item at RM0.10 (dummy price) to attract clicks, then asking for additional payment via chat.
- Off-Platform Steering: Asking Buyers to complete payment/transaction via WhatsApp, Facebook, bank transfer, or external links is strictly prohibited.
- False Claims: Fake “warranty,” “original,” “authentic,” “limited edition,” or misleading shipping promises.
- Review Manipulation: Incentivizing reviews with money, discounts outside platform rules, or fake orders.

4. Fees, Escrow & Payouts
JY Store maintains a fee and escrow system to protect Buyers and Vendors and to support platform operations. Fees and release conditions help reduce fraud, chargebacks, and disputes.
4.1 Fees
JY Store charges a Commission Fee and a Transaction Fee (Payment Gateway) on successful orders. These are deducted automatically from the total order value according to the fee schedule.
4.2 The Escrow Model
Buyer payments may be held in an “Escrow” state to protect both parties until the order is confirmed received or the auto-confirm window ends without dispute.
- Funds Release Funds are released to your Seller Balance only after the Buyer confirms “Order Received” OR after the Auto-Confirm Period (typically 7 days after shipping) expires with no dispute.
- Disputes & Holds If a dispute is opened, escrow release may be paused until resolution. You may be required to provide evidence (photos, shipment proof, communication logs).
- Withdrawals Withdrawals can be requested any time once balance is available. Processing is typically 1–3 business days. Minimum withdrawal: RM100.00.
- Adjustments Refunds, shipping differences, penalties, and chargebacks (if any) may be deducted from Seller Balance where applicable.
5. Logistics (J&T Integration)
JY Store partners with J&T Express for shipping updates and tracking visibility. Vendors must ensure shipments are created and handled accurately to avoid disputes and delivery issues.
- Shipping Deadline Standard orders must be shipped within 2 working days. Pre-order items must be shipped within the stated pre-order days (max 30).
- Packing Standard Use protective packing (bubble wrap, proper boxes). JY Store is not liable for damage caused by poor packing or insufficient protection.
- Tracking Accuracy Ensure tracking numbers and shipment status are accurate. If shipment status is missing or incorrect, you may be required to provide proof of drop-off or courier receipts.
6. Returns & Refunds
Buyers may request returns or refunds within the JY Guarantee Period (typically 3 days after receipt) when the request meets eligible reasons.
6.1 Eligible Reasons
- Item did not arrive (Non-receipt).
- Item received is incomplete (missing quantity or accessories).
- Item is damaged or physically defective.
- Item received is not as described in the listing.
6.2 Vendor Cooperation
When a return/refund request is opened, Vendors must respond within the stated timeframe and provide relevant evidence (photos, packing proof, shipment evidence, and explanation). Failure to respond may result in resolution based on available evidence, which can affect seller performance.
7. Digital Goods Policy
This section applies to sellers of e-vouchers, game credits, software keys, and top-ups. Because digital goods are delivered electronically, sellers must keep clear records to protect both parties.
- Validity Guarantee You guarantee all codes are valid and unused at the moment of delivery. Selling previously used or invalid codes is strictly prohibited.
- Delivery Records Maintain delivery proof such as system screenshots, issuer confirmation, timestamps, and redemption logs where available.
- Evidence Requirement For “Invalid Code” disputes, the Seller must provide logs/proof from the issuer showing the code was used after delivery (e.g., redemption time).
- Higher Risk Controls JY Store may apply stricter escrow holds or verification requirements for digital goods sellers to reduce fraud.
8. Seller Performance
JY Store monitors seller performance to ensure consistent Buyer experience. Poor performance may reduce visibility and lead to enforcement actions.
- High Cancellation Rate (often caused by out-of-stock items).
- Late Shipment Rate (shipping after the deadline).
- Unresponsive or rude communication, harassment, or abusive language.
- Repeated listing violations (dummy pricing, keyword spam, misrepresentation).
8.1 Recommended Best Practices
- Update stock daily and pause listings when inventory is low.
- Ship within timeline and ensure tracking updates are correct.
- Use clear photos and accurate descriptions (avoid exaggerated claims).
- Respond quickly to Buyer questions and disputes with evidence.
9. Legal & Compliance
9.1 Indemnity
You agree to indemnify and hold JY Store harmless from any claims, damages, penalties, or legal costs arising from: (i) your products or listings, (ii) your violation of laws, (iii) infringement of third-party rights, or (iv) your breach of these Terms.
9.2 Data Privacy (PDPA)
You will receive Buyer data (Name, Address, Phone) solely for the purpose of order fulfilment. You must not use this data for external marketing, spamming, or selling/sharing to third parties. You must comply with the Personal Data Protection Act 2010 (PDPA).
